In short
AI is in every conversation, but most explanations are either technical or hype. A small business owner wants to know what it is, what it can safely do and where to begin.
AI is software that learns patterns from large amounts of data and uses them to produce text, images or predictions. It is good at drafting, sorting and summarising, and bad at being reliably factual without checks. Start with one repetitive task and keep a person reviewing the output.
AI, short for artificial intelligence, is software that learns patterns from huge amounts of examples and uses them to do tasks that normally need human judgment, like writing, sorting or summarising. It does not think or understand like a person. It predicts what a good answer looks like, and it is very good at that for some jobs and unreliable for others.
You do not need to know how it works inside to use it well. You need to know what it is good at, what it is bad at, and where to start.
The one-minute explanation#
Imagine someone who has read an enormous number of emails, articles and books, and is very good at guessing what comes next. Ask a question and they write the answer that fits the pattern.
That is roughly how the assistants you may have heard of work. ChatGPT, Claude and Gemini are examples. They are tools built on this idea. "AI" is the wider field they belong to.
What AI is good at#
- Drafting. First versions of replies, posts, descriptions and summaries.
- Sorting. Deciding which enquiries are urgent, which are sales and which are spam.
- Summarising. Turning a long meeting or document into key points and actions.
- Answering from your own documents, if it is set up to read them.
- Repeating a format. Reports and updates that follow the same shape each time.
What AI is bad at#
- Being reliably factual. It can state something wrong in a confident voice. Always check names, numbers and claims.
- Knowing your business. It only knows what you give it.
- Judgment on high-stakes decisions. Pricing, legal wording and hiring need a person.
- Staying consistent unless you give clear examples and instructions.
This is why the rule for a small business is simple: AI drafts, a person approves.
Where a small business should start#
Do not start with "AI for the whole business". Pick one repetitive, low-risk task:
- Replying to the same five customer questions
- Turning meeting notes into a task list
- Drafting social posts you will review
- Summarising a long document before a call
Run it for two weeks. Measure the time saved. Only then add a second task. For a longer list of ideas, see 10 business tasks you can automate with AI today.
Chatbot, automation and agent: three different things#
These get mixed up:
- A chatbot answers questions in a chat window.
- Automation follows fixed rules you set in advance.
- An agent is AI that takes steps with tools to reach a goal. I explain it in what agentic AI is, with a real example.
For most small businesses, plain automation plus a chatbot covers the first year. Agents come later, once you have a repeated task worth handing over.
Real examples of AI doing useful work#
These are projects I built or designed, so you can see what "useful" looks like and what stage each is at:
- A content calendar that Claude fills. Claude planned and created a month of posts in a marketing platform through an MCP connection. Built and in use. See how it works.
- A WhatsApp agent that answers and books. A guide to giving Claude its own WhatsApp number so customers get answers and appointments around the clock. See the step-by-step.
- A company knowledge chatbot. A design for a chatbot that answers from company documents. This one is a design in progress, and the post says so. See the plan.
Rules that keep you safe#
- Do not paste secrets. Passwords, customer personal data and confidential contracts stay out of tools you have not reviewed.
- Read the data terms of the plan you use. Free and business plans often differ.
- Check before you send. Anything that goes to a customer gets a human look.
- Keep a record of which tasks use AI, so you can review them.
- Start small and widen only when it has earned trust.
What to do next#
Pick one task. Try one assistant on it for a week. Judge the result by how much you had to fix. If it saves time with little fixing, keep it and consider the next task.

Common questions
What is AI in simple words?
AI, or artificial intelligence, is software that learns patterns from lots of examples and uses them to do tasks that normally need human judgment, such as writing text, recognising images or sorting messages. It does not think or understand the way a person does.
What is the difference between AI, ChatGPT and Claude?
AI is the broad field. ChatGPT, Claude and Gemini are specific AI assistants you chat with, built on large language models. They are examples of AI, not the whole of it.
What can AI do for a small business?
Draft replies and posts, summarise meetings, sort enquiries, answer common questions from your documents and prepare reports. It works best on repetitive tasks where a person can quickly check the result.
What are the risks of AI?
It can state wrong things confidently, it can repeat bias from its training data, and sending business or customer data to a tool needs care. The remedy is simple: check important outputs and review the privacy terms of any tool you use.
Is there free AI I can try?
Most major assistants offer a free tier with limits, and the limits change often. Try a free one on a single real task before paying, and check its current terms for what it does with your data.
